Overview

Storage Manager is a self-service console for managing the storage accumulated by your Intellicon installation. It gives you visibility into storage usage, control over what is kept or removed, and automation to help prevent unexpected storage issues.

Intellicon Storage Manager

What You Can Do

Storage Manager brings the main storage-management tasks together in one place:

  • Monitor storage usage β€” View total capacity, current usage, remaining space, usage by channel, and usage by file type.
  • Find and manage files β€” Browse files and folders collected from your Intellicon channels, then download, archive, or delete them.
  • Archive important data β€” Create compressed ZIP archives before removing older files.
  • Track background operations β€” Monitor cleanup, archive, download, and synchronization jobs.
  • Automate retention β€” Configure how long different types of files or channel data should be retained.
  • Set storage alerts β€” Configure usage thresholds and email recipients for storage warnings.
  • Review activity β€” Use the Audit Log to see actions performed by users and automated system processes.

How the Sections Work Together

A typical storage-management workflow moves between several areas:

Monitor β†’ Find β†’ Archive or Delete β†’ Automate β†’ Track

  1. Monitor your overall storage situation from Cleanup.
  2. Find the files consuming space through All Files or use the channel-specific cleanup options.
  3. Archive files that need to be preserved, or Delete files that are no longer required.
  4. Track longer-running operations through Job Queues.
  5. Automate future cleanup by configuring retention rules in Auto-Policies.
  6. Review activity and confirm important actions through the Audit Log.

Before You Start

Storage Manager access is provided through your main Intellicon user management settings. An Intellicon administrator creates the user and assigns the appropriate Storage Manager permission level.

There are three permission levels:

  • Admin β€” Full access, including file management, policies, alerts, and audit logs.
  • Operator β€” Routine storage operations such as browsing, downloading, archiving, and cleanup.
  • Viewer β€” Read-only access to browse files and view the dashboard.

Important

Some Storage Manager actions are permanent. In particular, deleted files cannot be recovered. If you may need data later, archive it before deleting the original files.

Tip: If the storage forecast indicates that capacity will be depleted soon, review the Cleanup dashboard and plan a cleanup or storage upgrade rather than waiting for a critical alert.
